## Quotable means extractable

Retrieval works at passage level. An assistant is not grading your page as a document, it is looking for a chunk of text it can drop into a sentence it is about to write. That is why a page can be well written, well designed and completely ignored.

## The four properties

**Self-contained.** Cut the paragraph out and read it alone. If it opens with “this means that”, or depends on a sentence two sections earlier, it will not survive extraction. Each passage should restate enough context to make sense on its own, even at the cost of mild repetition.

**Specific.** The passage must contain something checkable: a number, a named area, a timeframe, a named service, a licence, a price band. “We respond quickly” contains nothing an engine can attach an answer to. “Emergency callouts attended within four hours across Dandenong, Springvale and Noble Park” does.

**Structured.** A heading that states the question, an answer directly underneath, a clean hierarchy from H1 down. Retrieval systems chunk text, and clean structure produces clean chunks. Buried answers get split across boundaries and lost.

**Dated where it matters.** Prices, availability and policies go stale. A claim with a date attached is safer to quote, and a visible last-updated stamp signals that someone maintains the page.

## Quotable and unquotable, side by side

**Unquotable.** “We pride ourselves on delivering exceptional service to our valued customers. With years of industry experience, our dedicated team goes above and beyond to ensure complete satisfaction on every job.”

Nothing in that is false. Nothing in it is checkable either. An assistant has no reason to lift it, because it makes no claim a reader could act on.

**Quotable.** “We service commercial refrigeration for cafes, restaurants and small food retailers across Dandenong, Springvale and Noble Park. Standard callout is $180 including the first hour on site. Emergency jobs logged before 2pm are usually attended the same day, and we have held a refrigerant handling licence since 2011.”

Four checkable facts, one paragraph, no adjectives doing work that a number should do.

## The lift test

Before publishing, take any paragraph and ask three questions:

1.  **Does it answer one question?** If it answers three, split it.
2.  **Would a stranger understand it alone?** If it needs the paragraph above, rewrite the opening.
3.  **Could someone verify a claim in it?** If not, add a fact or cut the paragraph.

A page where most paragraphs pass this test is a page an assistant can use. A page where none do is invisible, regardless of length.

## What gets ignored

Mission statements. Welcome paragraphs. Sentences about your commitment to quality. Bulk copy written to hit a word count. Anything that could be pasted onto a competitor’s site without changing a word.

Also ignored: content trapped in images, PDFs nobody links to, or interface elements that only render after JavaScript. If it is not in the text a fetcher receives, it does not exist for this purpose, which is why

## Making it a habit

The easiest way to write quotable copy is to start from questions. Write down what customers actually ask, turn each into a heading, answer in the first sentence and support it with a fact. The

## Dates, sources and why they help

Two small habits make a passage measurably safer to quote.

**Date the claims that move.** Prices, availability, turnaround times, warranty terms and policies all go stale. A line reading “standard callout is $180, current as of September 2026” can be quoted with confidence. The same sentence without a date forces a cautious system to hedge or skip it.

**Say where a number came from.** “We have completed 340 installations since 2019, from our own job records” is stronger than “hundreds of installations”. You are not writing a research paper, you are removing the reason for doubt.

The same logic applies to the page as a whole. A visible last-updated stamp signals that somebody maintains this, which matters when an engine is choosing between two similar sources. It is also honest: if a page has not been reviewed in three years, the stamp will tell you before a customer does.

## A five-minute audit you can run on any page

1.  **Read only the headings.** Do they state questions a customer would ask? If they say “Our Services” and “About Us”, the page has no retrieval targets.
2.  **Read the first sentence under each heading.** Does it answer the heading? If it sets up an answer that arrives three sentences later, rewrite it.
3.  **Count the checkable facts.** Numbers, named places, timeframes, licences. Fewer than three on a commercial page is thin.
4.  **Cut one paragraph at random and read it alone.** If it does not survive, the page is written as prose rather than as passages.
5.  **Look for the awkward answers.** Price, service area, what you do not do. If they are missing, an engine has to infer them, and it will usually prefer a competitor who stated them.

Only if the answers are specific. A question-shaped heading over vague copy changes nothing. The format helps because it forces question-then-answer structure, not because FAQ sections are inherently favoured.
